BakeAdmin --- Privacy Policy
Last updated: July 12, 2026
1. Overview
This policy explains how Zeitgeist Business Solutions ("we", "us"), operator of BakeAdmin (bake-admin.com), collects and uses personal data. Two roles apply:
-
We act as a controller for data about you --- account holders, workspace administrators, team members, and website visitors.
-
We act as a processor for data your business stores in its workspace about your own customers (your clients' names, contacts, orders, invoices). For that data your business is the controller; we process it only to provide the Service.
2. Data we collect
-
Account data: name (where provided), email address, workspace role and membership. Passwords are handled by our authentication provider; we never see or store your password.
-
Workspace data: the business information, clients, orders, quotations, invoices, payments, expenses, catalog, files, and settings your team enters.
-
Billing data: subscription plan, billing history, amounts, and payment references. Payments are processed by our third-party payment provider; we do not collect or store card numbers or bank details.
-
Technical data: login timestamps, audit records of significant account and billing actions (for security and support), and the timezone your browser reports at signup.
-
Email records: the type, recipient, and time of transactional emails we send (to avoid duplicates and support you).
3. How we use data
To provide and secure the Service; authenticate users and enforce workspace access controls; process subscriptions and send billing communications (receipts, renewal and trial reminders, suspension and deletion notices); send the workspace emails you initiate (invoices, quotations, receipts to your clients); provide support; maintain audit trails; and comply with legal obligations. We do not sell personal data and do not use your data for third-party advertising.
4. Legal bases (where GDPR or similar laws apply)
Performance of contract (providing the Service and billing); legitimate interests (security, audit logging, service communications, retention reminders); legal obligation (financial records); and consent where required for optional communications.
5. Service providers
We use a small number of vetted third-party providers to operate BakeAdmin, limited to: application hosting and infrastructure (including authentication and database services), payment processing, and transactional email delivery. Each provider receives only the data necessary for its function, under its own data-protection commitments. A current list of providers is available on request at support@zeitgeistbusiness.com. We may also disclose data where required by law or to protect rights, safety, or the integrity of the Service.
6. International transfers
We operate from Trinidad and Tobago; our service providers may store and process data in other countries, including the United States and the European Union. Where data-protection law applies to a transfer, we rely on the safeguards offered by our providers, such as standard contractual clauses.
7. Retention and deletion
-
Active workspaces: data is retained while the subscription is active or in trial.
-
Lapsed workspaces: retained for 12 months from lapse so you can reactivate; reminders are sent during this period, with final warnings before deletion.
-
Deletion: after 12 months of inactivity plus a 30-day final window, the workspace and its data --- including your clients' personal data --- are permanently deleted from the live system.
-
Self-service export: workspace administrators can export their workspace data at any time from within the Service, and are encouraged to do so before deletion.
-
What we keep: billing records and security audit logs are retained beyond deletion as required for financial, tax, and legal purposes.
-
On request: you may request earlier deletion of your workspace or your individual user account at support@zeitgeistbusiness.com.
8. Your rights
Depending on your location, you may have rights to access, correct, export, delete, or restrict processing of your personal data, to object to certain processing, and to lodge a complaint with a supervisory authority. For account data, contact support@zeitgeistbusiness.com. If a bakery using BakeAdmin holds data about you (for example, you are a bakery's client), contact that business directly --- it is the controller of that data; we will support it in fulfilling such requests.
9. Security
We apply technical and organizational measures appropriate to the Service, including workspace isolation, role-based access controls, server-side verification of sensitive operations, encrypted transport (HTTPS), payment processing through an established third-party provider, audit logging, and periodic security review. No system is perfectly secure; please use strong passwords and report any concern to support@zeitgeistbusiness.com.
10. Cookies
BakeAdmin uses cookies and similar storage strictly necessary to keep you signed in and operate the Service. We do not use third-party advertising or tracking cookies.
11. Children
The Service is for businesses and is not directed to children under 18.
12. Changes
We may update this policy; material changes will be notified by email or in-app before taking effect.
